Generate submittals from the spec book

Tick spec sections, review the submittals StruXure proposes from them, and create them all as drafts in one go.

Permission neededSubmittals — Admin, and Specifications — Read

If your project's spec book is in StruXure, it can propose the submittals each section asks for. You check the list, change what you need, and create them all as drafts at once.

1. Choose the sections

  1. Open the project and choose Specifications in the sidebar.
  2. Tick the sections you want submittals for. You can tick up to 200 at a time.
  3. Click Generate Submittals (…). The number is how many sections you've ticked.

StruXure reads the sections. The page shows Reading the spec sections… and how many it has read so far, and moves on by itself when it's done.

If submittals were already generated from a section's current revision, that section is left out, and the page says which. To generate from it again, add a new revision to the section first.

2. Review the proposals

The Review Generated Submittals page lists the sections down the left, grouped by division, and the proposals for the section you choose on the right.

For each section:

  • Choose the Submittal Manager. It starts as the project's default manager. Every section with ticked proposals needs one; a warning sign on the left marks any that don't.
  • For each proposal, change the title, Submittal Type or description if you need to, and untick any you don't want. Each proposal says which part of the section it came from.
  • Click Add a submittal for one the book didn't list.

Every change saves as you make it.

3. Create the submittals

  1. Click Generate (…). The number is how many proposals are ticked.
  2. Check the confirmation and click Generate. Don't refresh or leave the page while it works.

The ticked proposals are created as Draft submittals, numbered on the project's list, each linked to its spec section, with today as the sent date. The Generated Submittals page lists what was created; click Open the submittal register to see them. Each one shows From the spec book, with others under Generated.

Next, set up each one's approval workflow and send it for review.

Good to know

  • To stop without creating anything, click Cancel and then Discard proposals. Nothing is created and you go back to the specifications.
  • Every run is recorded. The Generated Submittals tab in Specifications lists each run: when, by whom, which sections, and how many submittals.
  • If someone else generates from the same sections while your run is open, StruXure won't create duplicates; it tells you which sections were affected.
