Each person on a workflow step answers for themselves, with one of six stamps.
Respond on your step
- Open the submittal. When it's your turn, the Approval Workflow card says Your Response is Pending.
- In the Approval Workflow card, find your name and click Edit response.
- Optionally, write a Message: what was marked up, and what has to change. Type @ to mention someone.
- Optionally, add files under Attachments: a marked-up PDF or stamped set. They're attached when you choose your stamp.
- Click your stamp:
| Stamp | Use it when… |
|---|---|
| Approved | The package is fine as submitted. |
| Approved as Noted | It's fine with the corrections you've noted. |
| For Record Only | It's for information and needs no approval. |
| Revise & Resubmit | It needs changes and must come back. |
| Rejected | It can't be used. |
| Void | It shouldn't have been submitted, e.g. a duplicate. |
The message Response recorded as … appears, and your stamp shows in your row. When your step is done, the next step starts. When the last step is done, the submittal comes back with its stamp, and it's waiting on the submittal manager.
Good to know
- You can only respond on your own step, once it's that step's turn. If an earlier step is still waiting, you'll see Step … is still waiting for a response; step … does not come round until it has one.
- A done step is locked. To change a response on it, a submittals admin has to revert the step first. See Set up the approval workflow.
- A closed submittal takes no more responses.
- When several people stamp a submittal, the least favourable stamp wins.
- Everyone on the submittal is notified of your response, except you.
- To ask a question without stamping, add a comment instead.
Record a response for someone else
Submittals admins can record a stamp that arrived by email or on paper. Click Edit response on that person's row. The form says You are entering this for … It counts as their response. Fill it in and choose the stamp. The row then shows Entered by with your name.
Return the whole trip at once
If a review came back outside StruXure as one stamped set, a submittals admin can record it in one go from the Revisions tab, under Return revision …: write the Reviewer comments, set the Returned date (it starts as today), and click the stamp. The trip is kept in the revision history.
