Raise the RFI

  1. Open the project and choose RFIs in the sidebar.
  2. Click New in the top right. A Raise an RFI form opens in place of the list. (The button now reads Close form, in case you change your mind.)
  3. Fill in the form. Subject, Message and RFI manager are required.
  4. Drag files into Attachments, or choose them, if the question needs a sketch, photo or marked-up drawing.
  5. Click one of:
    • Send to send it now. It opens as Open, and the people in Assignees (To) and Distribution list (CC) are emailed.
    • Save Draft to keep it as a Draft. Nobody is emailed until someone sends it. See Send a draft RFI.

You're taken back to the list, which says RFI #… raised. If you attached files, StruXure uploads them after saving the RFI. If any can't be attached, the message says so; add them from the RFI's page.

What each field is for

Field What to enter
Subject A short line people will recognize on the list, e.g. "Beam penetration clashes with the duct run at grid 4". Required.
Message What can't proceed, and what's needed to unblock it. Required.
RFI manager The person responsible for getting this RFI answered and closed. Required.
Due date When an answer is needed. It can't be before today.
Received from The person who brought the question to you, if it came from someone else.
Private Tick it to limit who can see the RFI. See Private RFIs.
Assignees (To) The people and groups who should answer. Tick Required next to a person whose answer is needed before the RFI can close.
Distribution list (CC) People and groups who should be kept informed.

Under More details you'll find Reason, Specification, Drawings, Location, Project stage, Responsible contractor, Priority (Low, Medium, High or Urgent; it starts at Medium), and Cost impact?, Schedule impact? and Schedule critical? (Not assessed, Yes or No). If you answer Yes to cost or schedule impact, describe it in the box that appears.

Tip

Your company or project may have defaults set up. If so, RFI manager, Due date and Distribution list (CC) are already filled in when the form opens. You can change them. See Set RFI defaults.

Good to know

  • Only RFI admins can raise RFIs. If you don't see New, you don't have Admin access to RFIs.
  • Numbers are given when the RFI is saved and are never reused or changed.
  • Everyone you address an RFI to must be in the project's directory. If the pickers say nobody is in the directory yet, ask your project admin to add the project team first.
  • Specification and Drawings only appear if you can see the project's specifications and drawings.
  • Reason and Project stage come from lists your project admin keeps. If Reason says the project offers no reasons, ask them to set the list up.
