A response is an answer to the RFI's question. An RFI can have several; the RFI manager then marks one of them as the official answer.
- Open the RFI. It must be Open: drafts and cancelled RFIs can't take responses.
- In the Responses card, click + New.
- Write your answer in Message. Type @ to mention someone; they're told about it.
- Optionally, add files under Attachments, such as a sketch or marked-up drawing. They're attached to this response.
- Check Date given. It starts as today. You can pick an earlier date if the answer was given before it was entered, but not before the RFI was raised.
- Click Save.
The message Response added. appears and your response is listed in the Responses card with your name and the date. Everyone on the RFI is notified, except you.
Adding a response doesn't close the RFI. The RFI manager or an RFI admin marks a response official and closes it. See Mark the official response and close an RFI.
Enter a response for someone else
RFI admins can record an answer that arrived by phone, email or on paper. In the response form, choose the person in Responding on behalf of. Only people on the RFI's Assignees (To) line are listed. The response counts as theirs, and it shows Entered by with your name.
Good to know
- Anyone with Respond access can respond, whether or not the RFI is addressed to them. Only the responses of required assignees decide whether the RFI is ready to close.
- Responses can't be edited or deleted. To correct one, add another response.
- If the question was revised, required assignees need to respond again: responses to the earlier wording don't count for the new revision.
- To ask a question or add to the discussion without answering, use Comments instead. See Comment on an RFI.
- If you don't see + New, you have Read access only, or the RFI isn't open.
If something goes wrong
- "A response needs a body": write a message before saving.
- "A draft RFI has not been issued yet, so it cannot be responded to.": the RFI hasn't been sent yet.
- "A cancelled RFI cannot be responded to. Reinstate it first.": an RFI admin has to reinstate it first.
- "A response cannot be dated before the question was raised.": pick a later Date given.
