Marking a response official and closing the RFI are two separate steps. Both are done by the RFI manager named on the RFI (with at least Respond access) or by an RFI admin. If an RFI has no manager, only an RFI admin can do them.
Mark a response official
- Open the RFI and find the response in the Responses card.
- Click Mark as Official next to it.
The response is labelled Official Response, and it's shown at the top of the Details tab as the RFI's answer. Its Date given becomes the RFI's Completed date. Everyone on the RFI is notified.
If another response was official before, it's labelled Superseded. The RFI stays open: the message says Response marked official. The RFI stays open until somebody closes it.
Close the RFI
- Open the RFI.
- Click Close RFI at the top of the page.
- Check the confirmation and click Close RFI.
The RFI moves to Closed, the close date is recorded, it isn't waiting on anyone any more, and everyone on the RFI is notified.
- An official response isn't required. If none is marked, the confirmation says the RFI closes without one, and the answer card says Closed without an official response.
- Required assignees must respond first. Until every assignee ticked Required has responded, Close RFI is replaced by Waiting on … before it can close, naming who hasn't responded.
Good to know
- The official response is the one that counts. It's the Completed date on the list, it's used for Average turnaround, and it's what the RFI's PDF shows as the answer.
- After a revision, it goes back to waiting on the assignees even if an earlier response is official. Mark the response to the new wording official once it's in.
- To email the answer to everyone on the RFI, see Distribute an RFI.
- To reopen a closed RFI, see Cancel, reopen or reinstate an RFI.
If something goes wrong
- "Only the RFI manager named on this RFI, or an RFI admin, can mark a response official.": you're not this RFI's manager. Ask the manager or an RFI admin.
- "This RFI is waiting on a response from …": a required assignee hasn't responded. Wait for them, or ask an RFI admin to enter their response on their behalf, or untick Required for them.
