Set RFI defaults

Pre-fill the RFI manager, due date and CC list on new RFIs, for your whole company or one project.

Defaults save time when raising RFIs. They pre-fill the RFI manager, Due date and Distribution list (CC) on the Raise an RFI form. People can still change them on each RFI.

Changing a default only affects RFIs raised afterwards. Existing RFIs keep what they were given.

Set company defaults

  1. Go to Settings and open Module defaults.
  2. Find the RFIs card.
  3. Set:
    • RFI manager: the person pre-selected as manager on new RFIs. They're only pre-selected on projects where they're in the project directory.
    • Work days until due: how many work days after the RFI is raised the due date should be. Leave it blank for no default due date.
    • Distribution group: who a new project's default RFI recipients start as.
  4. Click Save RFI defaults.

Set defaults for one project

  1. Open the project and choose Admin in the sidebar.
  2. Under Module settings, find the RFIs card. It says whether the project is following the workspace defaults or overriding them.
  3. Set RFI manager (only people in this project's directory are listed) and/or Work days until due. Leave a field blank to keep following the company setting.
  4. Click Save RFI settings.

To go back to the company defaults, click Use workspace defaults.

Choose who's copied on new RFIs

Each project keeps a list of default RFI recipients. When anyone raises an RFI, these people and groups are already on the Distribution list (CC) line.

  1. Open the project and choose Admin in the sidebar.
  2. Find Default recipients and the RFI row, then click Edit.
  3. Move people and groups between Available and Selected.
  4. Click Save RFI.

When a project is created, this list starts from the Distribution group in the company's RFIs defaults. After that, each project's list is edited on its own.

How due dates are counted

Work days are counted on the project's calendar: its working week and, where it observes them, holidays. For example, with 5 work days on a Monday-to-Friday project, an RFI raised on a Thursday is due the following Thursday.
