Every RFI has two lists of people:
- Assignees (To): the people and groups who should answer. Tick Required next to a person whose answer is needed before the RFI can close. Groups can't be required.
- Distribution list (CC): people and groups who should be kept informed. If your project has default RFI recipients, they're already on this line when you raise an RFI. See Set RFI defaults.
You choose both when you raise the RFI, and an RFI admin can change them later in place. Only people in the project's directory can be added.
What gets sent, and to whom
| When… | Who hears about it |
|---|---|
| The RFI is sent | Everyone on the To and CC lines is emailed the RFI. Groups are expanded to their members at that moment. |
| Someone adds a response | Everyone on the RFI, except the person who did it. |
| A response is marked official | Everyone on the RFI, except the person who did it. |
| The RFI is closed | Everyone on the RFI, except the person who did it. |
| Someone comments | Everyone on the RFI, except the person who did it. |
"Everyone on the RFI" means the To and CC lines, the RFI manager, the person who raised it, whoever it's waiting on, and the Received from person (unless the RFI is private). These updates appear in each person's in-app inbox and, depending on their email settings, by email, grouped with other changes made at about the same time.
Nobody is emailed when an RFI is revised, edited, cancelled, reopened or reinstated, or when it's passed to someone.
People without an email address in the directory aren't emailed, but they can still see the RFI in StruXure.
Mute or follow an RFI
If you're on an RFI, buttons under its title let you choose what you hear about it:
- Mute stops update notifications about this RFI, including the daily summary. The button then reads Muted · Unmute; click it to start them again.
- Follow, for people on the CC line, means you hear about the RFI as if you were on the To line. The button then reads Following · Unfollow.
See what was sent
RFI emails are listed on the RFI's Emails tab, with who each went to and whether it's Queued, Sent, Failed or Held. Click The message as queued to read it.
