Distribute an RFI

Email the RFI's PDF, with its official response, to the people on it and the project's RFI default recipients.

Who this is forRFI managers, Project admins

Permission neededRFIs — Respond, as the RFI's manager; or RFIs — Admin

Once an RFI has an official response, send it to everyone who needs the answer. The RFI manager named on the RFI or an RFI admin can distribute it.

Distribute the RFI

  1. Open the RFI. The timeline at the top shows Distributed as the next step.
  2. Click Distribute at the top of the page, or under Distributed on the timeline.
  3. Check who it goes to:
    • To starts with the RFI's assignees.
    • CC starts with the RFI's distribution list and the project's RFI default recipients. Add or remove people and groups for this send. The RFI and the project's list aren't changed.
  4. Choose the PDF: Official response only, or All responses.
  5. Click Distribute.

One email goes out with the PDF attached.

What's in the PDF

The RFI's details, the question, and the official response (or every response). Files that came back with a response print with it:

  • Photos and images are printed under the response.
  • PDFs, like a marked-up drawing, are added as pages at the end.
  • Other files are listed as links that open the file in StruXure.

The same PDF is under More on the RFI. The message says how many people it was emailed to, and the timeline shows the date under Distributed.

Good to know

  • Open or closed. An RFI can be distributed before or after it's closed.
  • Again. To send it to more people later, choose More → Distribute again.
  • A new official response starts over: the timeline shows Distributed as not done until the new answer is sent.
  • Private RFIs start with the RFI's own To and CC lines only. Anyone you add gets the PDF.
  • Too big to attach? Each person gets their own email with a download link that works for 30 days. Anyone not in the project directory is asked to open the RFI in StruXure instead. Project admins can see and revoke the links on the RFI's Emails tab.
  • Nobody in To? You're To, so the email always has a To line.
  • The email is on the RFI's Emails tab, with who it went to.

If something goes wrong

  • "Nobody chosen has an email address on file.": the people chosen have no email address in the project directory. Add one, or choose someone else.
