Who can do what on RFIs

The three levels of RFI access, what each allows, which standard roles have them, and who can see a private RFI.

Who this is forCompany admins, Project admins

Access to RFIs comes from the roles people hold, at company level or on a project. In the roles screen, the area is called RFIs, with three levels.

The three levels

Level What it allows
Read See RFIs and their responses, files and history, comment, print PDF reports, export to CSV, and save personal views.
Respond Everything in Read, plus add responses. The RFI manager named on an RFI, if they have Respond, can also mark a response official, close the RFI, pass it to someone else, and make the RFI private or public.
Admin Everything in Respond, on every RFI, plus: raise and send RFIs, edit their details, create new revisions, cancel, reopen and reinstate them, respond on someone else's behalf, add files to the RFI and remove any file, hide comments, and see who an RFI was passed to, and when.

Being the RFI manager on an RFI isn't a permission. It's a person named on that RFI, and it gives them those extra steps on that RFI only.

Standard roles

Role RFI access
Internal - Super Admin Admin
Internal - Project Admin Admin
Internal - Project Manager Respond
Internal - Superintendent Respond
Internal - Field Engineer Respond
External - Architect Respond
External - Engineer Respond
External - Subcontractor Respond
Internal - Read Only Read
External - Owners Rep Read
Internal - Organization Admin, Internal - Directory Read None

Your company may have changed these, or added its own roles.

Important

By default, Project Managers and Superintendents can't raise RFIs; only Project Admins and Super Admins can. If your project managers raise RFIs, give them a role with Admin on RFIs.

Private RFIs

A private RFI can only be seen by RFI admins, its manager, the people on its To and CC lines (including members of groups on them), and the person who raised it. Everyone else can't see it at all, whatever their level. See Private RFIs.

What people without access see

  • With no RFI access, RFIs doesn't appear in the project sidebar.
  • With Read only, New, + New on responses, and the editing buttons aren't shown, and details are plain text.
  • With Respond but not Admin, New, Send, Create New Revision and the More menu's cancel, reopen and reinstate aren't shown.
