You change an RFI's details one at a time, right where they're shown. There's no separate edit page, and changing a detail doesn't make a new revision.
- Open the RFI.
- In the Request or General Details card, click the value you want to change. A pencil appears when you point at a value you can change. For a few values that contain links, such as Specifications and Drawings, click the pencil next to the value instead.
- Change it:
- Dropdowns (RFI manager, responsible contractor, priority, reason, project stage, location, specification, and the cost and schedule questions) save as soon as you pick a new value.
- Due date saves a moment after you pick a date from the calendar. If you type the date, it saves about a second after you stop typing. Press Enter to save it straight away.
- Assignees (To), Distribution list (CC), Drawings and the impact details show Save and Cancel. Press Ctrl+Enter (⌘+Enter on a Mac) to save. In a one-line box, Enter saves too.
- Press Esc or click Cancel to leave a field without changing it.
What you can change here
| Card | Values |
|---|---|
| Request | Assignees (To) (including the Required ticks), Distribution list (CC), Responsible contractor, Due date |
| General Details | RFI manager, Specifications, Drawings, Location, Reason, Project stage, Priority, Cost impact?, Schedule impact?, Schedule critical?, and the cost and schedule impact details |
The cost and schedule impact details appear once the impact is Yes, or if they already have text.
What you can't change here
- Subject and Message. Rewording the question makes a new revision, so the earlier wording is kept. Click Create New Revision (or Edit on a draft). See Change the question with a new revision.
- Received from, the RFI number, Created by, Waiting on and Days open.
- Private. Use Make private or Make public in the More menu. See Private RFIs.
- The status. Use the buttons at the top of the page: Send, Close RFI, or Cancel, Reopen and Reinstate in the More menu.
Good to know
- Every change is on the record. Each save that changes something adds a Details changed entry to the RFI's History tab, saying what changed, for example "Priority: Medium → Urgent" or "Assignees: added …; removed …". Saving the same value again records nothing.
- Waiting on updates itself. Changing the To line, the Required ticks or the manager can change who the RFI is waiting on. See Who an RFI is waiting on.
- Editing doesn't email anyone. Adding someone to the To or CC line doesn't send them the RFI.
- You can edit details at any status, including on a closed or cancelled RFI.
- If a change can't be saved, the box stays open and says why underneath, for example when a person isn't in the project's directory.
- Without Admin access to RFIs, the values are plain text with nothing to click.
